A report is the start of the next job
HSE’s introduction to managing health and safety describes an ongoing cycle of planning, doing, checking and acting. Controls need to stay effective as work changes. The guidance also emphasises involving workers in the process.
Our practical reading is that an inspection should feed the way the business runs. A report filed away from the people planning repairs and visits is unlikely to do that on its own.
Use a list people can work from
Choose a handful of open findings and ask whether a person unfamiliar with the visit could understand them. Which asset or location is involved? What was observed? What is the next action? Who owns the decision? What is the agreed priority and timescale?
Avoid forcing every finding into the same response. Some concerns need immediate escalation and control. Others need investigation, a quotation or a planned repair. The person competent to assess the risk should determine the response; an arbitrary colour or deadline is not a risk assessment.
Make blockers visible
A recurring management visit can be useful when it brings open work back into view. If a repair is waiting for access, say so. If an examination report needs interpretation, record the question and who will answer it. If responsibility is unclear, resolve it before the finding disappears into the next spreadsheet.
Completion should have an evidence basis appropriate to the job: a repair record, a report, a competent check or another agreed confirmation. An invoice can show that work was purchased, but it may not answer every question about the outcome.
